When Customer Success operates from a command centre in ClickUp, teams stop guessing which accounts need attention and start acting on shared, data driven signals.
Building a CS Home in ClickUp
To get started, create a Customer Success Space where accounts, renewals, expansions, and risks can be found. This means that for each account, there can be a task within a Customer List with standard fields such as MRR, segment, CSM owner, renewal date, stage, etc.
This structure provides a single source of truth where CSMs, leadership, and other groups can view which accounts exist, who owns them, what value is associated with them, etc.
Bringing NPS into the Workspace
NPS becomes useful when it is “actionable” rather than just “available” and not locked away in a survey tool. This can be achieved by bringing in the results of the survey to the “Customer List” via integrations or data import. This will allow you to store fields like the latest NPS score, category like Promoter, Passive, or Detractor, survey date, and written feedback.
Views and dashboards can then be created to highlight detractors up for renewal, promoters for expansion, and accounts who have not recently submitted an NPS survey. This turns a “general metric” into “specific work to be done.”
Defining and Tracking Health Scores
Health scores should incorporate quantitative and qualitative metrics pertinent to your business model. This could be product usage, support tickets, NPS, contract value, stakeholder engagement, and time since last interaction. This score should be represented in a numerical or color-coded custom field on each account.
A simple “health scoring guide” should be maintained in a ClickUp “Doc” to outline the calculation and rationale for the score. This will ensure CSMs understand what “red,” “amber,” and “green” actually mean and allows for the framework to adapt as new learnings emerge.
Operationalising Playbooks as Workflows
Playbooks can be much more powerful if they can be incorporated into tasks, templates, and automations. For example, for situations such as onboarding, quarterly business reviews, upsell opportunities, deteriorating health scores, or renewal risks, create task templates with subtasks, checklists, and links to Docs that provide the necessary steps.
Automations can be used to trigger playbooks for specific situations, such as when the account health score deteriorates, NPS feedback turns negative, 90 days prior to renewal, or for new feature rollouts. This provides CSMs with a concrete plan of action instead of general advice.
Dashboards as the Command Centre View
Dashboards can be used to aggregate key indicators for both leadership and CSMs. For example, widgets can be used to display accounts by health score, upcoming renewals, NPS, revenue at risk, and playbooks running.
For CSMs, their personal dashboard can be used to highlight their accounts, upcoming interactions, overdue tasks, and the highest risk/opportunity accounts that they should focus on.
Making It a Living System
The Customer Success command centre should also be one that continually evolves. The teams should assess the effectiveness of health scores in representing reality, the effectiveness of the playbooks, and whether the feedback from the NPS is driving tangible actions and product improvements.
When the task management solution of choice is ClickUp, the operational backbone of the NPS health scoring and playbooks, as opposed to just task management, the Customer Success teams can have a common understanding of the customer health as well as a consistent approach to protect and grow revenue in a scalable manner.
