How We Built a Fully Automated Marketing Campaign Tracker in ClickUp
Managing many marketing campaigns on multiple channels can lead to an unorganised way to manage spreadsheets, inconsistent metrics and endless amounts of “what is the latest version on this?“ emails. We wanted one location to manage all campaigns, assets and results while automatically updating. That‘s when we created a fully automated tracker that will manage all of our launches, continual ads and experiments via ClickUp with as little effort as possible.
Step 1: Design the Campaign Structure
We established a dedicated Marketing Space with a separate “Campaigns“ Folder that has a different List for Upcoming, Active and Completed campaigns. Each campaign is created as a task and its associated key deliverables (ad sets, emails, landing pages) are listed as subtasks so everything is easily visible at once.
This general campaign structure supports how marketers think about the overall process (Idea, Launch, Optimize) so that each member of the marketing team can quickly see the status of each campaign without logging into any other tool.
Step 2: Add the Right Custom Fields
We defined the custom fields that we believe are the most important to our marketing efforts, such as:
-
Channel
-
Objective
-
Audience
-
Budget
-
Launch date
-
Status
-
Primary KPI (leads, ROAS, CTR)
And for performance tracking against our campaign spend, we created Number fields for: Spend, Impressions, Clicks, Conversions and the associated Key Performance Metrics. With these custom fields available for every view and/or report, on–demand performance boards are accessible automatically.
Step 3: Automate Workflows and Handoffs
We then layered in ClickUp Automations so the tracker updates itself as work moves forward:
-
When a campaign task moves to Active, ClickUp automatically creates recurring optimisation tasks, assigns owners, and posts a note in the campaign chat thread.
-
Status changes trigger due-date adjustments, reminder comments, or notifications to stakeholders, reducing manual check-ins.
-
With ClickUp AI, we can even auto-generate task descriptions and summaries from briefs, speeding up planning and reporting.
Step 4: Build Dashboards for Real-Time Visibility
Finally, we created ClickUp Dashboards that pull in campaigns, tasks, and performance fields across all Lists.
Widgets track active campaigns, budget vs. spend, channel performance, and upcoming launch dates, giving marketing and leadership instant clarity without chasing spreadsheets.
Because everything lives in one system, tasks, docs, chat, and metrics, our campaign tracker has become a live control centre rather than a static report.
With this setup, our team spends far less time updating trackers and far more time optimising campaigns, testing new ideas, and scaling what works.
